Terms of Use
Rules for using RPGCaddy and this website. Last updated 15 October 2026.
This is the agreement between you and Genetix Development (“we,” “us”), which operates RPGCaddy at rpgcaddy.com (the “Service”). RPGCaddy is a subsidiary of Genetix Development (www.genetixdevelopment.com). By creating an account, clicking “I agree,” or using the Service, you accept these Terms and the Privacy Policy and Cookies notices posted on the site.
If you do not agree, do not use the Service.
1. What RPGCaddy is
RPGCaddy is an online campaign workspace for tabletop role-playing games. It helps game masters and players organize campaigns, characters, notes, maps, files, and related prep. It is not a virtual tabletop, not a live-play platform, and not a substitute for the rulebooks of any published game.
You may use RPGCaddy with Shadowdark, another published system, a mix of systems, or homebrew. RPGCaddy is an independent product. It is not affiliated with, endorsed by, or a licensee of Arcane Library, Wizards of the Coast, or any other game publisher unless we say so in writing.
2. Eligibility and accounts
You must be at least 13 years old to create an account. If you are using the Service on behalf of an organization, you represent that you have authority to bind it.
You agree to provide accurate registration information, keep your email reachable, and keep your password confidential. You are responsible for activity under your account. Tell us promptly through the contact page if you believe the account was used without permission.
Do not impersonate another person in your username. Do not share a single paid account as a way to avoid plan limits. We may suspend or close an account that is inaccurate, abusive, or a security risk.
3. License to use the Service
We and our licensors own the Service: software, design, trademarks (including RPGCaddy), and our own text and graphics. Subject to these Terms, we grant you a limited, revocable, non-exclusive, non-transferable right to access and use the Service for your own tabletop campaigns.
You may not: copy, scrape, or resell the Service; reverse engineer it except where the law allows; remove proprietary notices; overload or interfere with the Service; or use bots or scrapers to harvest other people’s content. You may link to public RPGCaddy pages if you do not frame the site or hide our branding.
4. Your content
“Your Content” means material you or people you invite put into the Service: campaign text, characters, notes, maps, images, PDFs, roll tables, and similar files.
You keep the rights you already have in Your Content. We do not claim ownership of your campaign. You grant us a limited license to host, back up, display, transmit, and make technical copies of Your Content only as needed to operate, secure, and improve the Service (for example, showing a character to campaign members the GM has allowed, generating a thumbnail, or restoring a backup).
That license lasts as long as Your Content remains on the Service and for a reasonable period afterward for backups and legal retention. It is not a license for us to sell your setting as our own product.
You represent that you have the right to upload Your Content and that it does not infringe someone else’s copyright, trademark, or other rights. You are responsible for homebrew, commissions, and any publisher material you add. Do not upload rulebooks, bestiary text, official maps, or art you do not have permission to use.
We may remove content that appears to violate these Terms or the law. We do not have to monitor everything you post, and we are not responsible for what other users share with you.
5. Campaigns, GMs, and players
A campaign has a game master (or owner) who controls membership, visibility, and much of what players can see. If you join a campaign, the GM’s settings decide what you can view or edit. If you are the GM, you are responsible for who you invite and for content in that campaign, including files in the File Hub.
Leaving or losing access to a campaign may mean you can no longer see its material in RPGCaddy, even if you still have a copy elsewhere. We are not required to mediate disputes between members of a table.
6. Acceptable use
You agree not to use the Service to:
- break the law, harass people, or post threats, malware, or sexually explicit material involving minors;
- upload content you do not have the right to use;
- attempt to access other accounts, campaigns, or data you were not invited to;
- probe, scan, or disrupt the Service;
- use the Service to send spam or to operate an unrelated commercial service on our infrastructure.
Playing and organizing tabletop games — including streaming your table or running a home campaign where players contribute to snacks or a virtual tabletop elsewhere — is allowed. Selling access to RPGCaddy itself, or wrapping our Service as your own competing product, is not.
7. Plans, storage, and paid features
A free Commoner seat is available with the limits shown on the Pricing page (including campaign count, players per campaign, and File Hub storage). Paid plans (Adventurer, Champion, Warlord, Ascendant, and any Founders arrangement we offer) add capacity or features as described on Pricing at the time of purchase.
Plan limits are enforced in the Service. If you exceed storage or other caps, uploads or new campaigns may fail until you free space or change plans. If a paid plan ends or you downgrade to Commoner, the campaign remains, but features and storage fall back to the free limits. We may pause, hide, or restrict material that no longer fits the active plan.
Prices are in U.S. dollars unless we state otherwise. You are responsible for applicable taxes. Current prices and included features are on the Pricing page and may change for future terms; we will not change the price of a term you have already paid through until that term ends, except as required by law.
8. Billing, PayPal, cancellation, and refunds
Card payments, when enabled, will be handled by a third-party processor. RPGCaddy does not store full card numbers on its own servers. You authorize the processor to charge the payment method you designate for the plan you select.
PayPal. PayPal subscriptions are set up manually, are sold in 12-month increments, and do not auto-renew. Champion, Warlord, and Ascendant PayPal terms currently include the annual discount described on the Billing page (one month free in a 12-month purchase, where applicable). At the end of the 12 months the paid campaign features may pause until you renew or drop to Commoner.
Cancellation. You may stop paid billing by changing the relevant subscription to the free Commoner tier in Account → Subscriptions, or by contacting us. Downgrading stops future paid charges. You keep the paid features you already paid for until the end of the current paid period, when limits return to Commoner (unless we state a different rule for a specific offer).
Refunds. Fees are generally non-refundable, including when you downgrade mid-period. If a charge fails, we may suspend paid features. If you reverse a payment (for example a chargeback) we may close paid access. We may make a goodwill exception in writing; nothing in this section requires us to do so.
To remove a stored payment method, contact us after you have set paid subscriptions to Commoner so that recurring charges are not still queued. We will process removal requests as described on the Billing page (currently within 48 business hours).
9. Changes to the Service and to these Terms
We may add, change, or remove features, including paid features, and we may suspend the Service for maintenance or security. We may update these Terms by posting a new version on this page and updating the “Last updated” date. Where the change is material, we will try to give reasonable notice (for example by email or an in-app notice). Continued use after the effective date is acceptance. If you do not agree, stop using the Service and close your account.
10. Privacy
How we collect and use account data, campaign data, and logs is described in the Privacy Policy. Cookies needed to sign you in are described on the Cookies page. Those pages are part of your agreement with us.
11. Third-party links and game publishers
The Service may link to other sites or tools. We do not control them and are not responsible for their content or practices. Names of games, rulesets, and publishers are used for identification. Using RPGCaddy does not grant you a license to copy a publisher’s books, art, or trademarks.
12. Disclaimer of warranties
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, SECURE, OR ERROR-FREE, THAT CAMPAIGN DATA WILL NEVER BE LOST, OR THAT THE SERVICE WILL MEET YOUR PREP OR TABLE NEEDS. KEEP YOUR OWN COPIES OF MATERIAL YOU CANNOT AFFORD TO LOSE.
Dice, generators, and similar tools are for convenience. They are not official rules for any published game.
13. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE AND OUR OWNERS, EMPLOYEES, AND SUPPLIERS ARE NOT LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, DATA, OR GOODWILL, EVEN IF WE WERE TOLD THEY WERE POSSIBLE.
OUR TOTAL LIABILITY FOR CLAIMS ARISING OUT OF THE SERVICE OR THESE TERMS IS LIMITED TO THE AMOUNTS YOU PAID US FOR THE SERVICE IN THE TWELVE (12) MONTHS BEFORE THE CLAIM (OR, IF YOU HAVE ONLY USED THE FREE TIER, FIFTY U.S. DOLLARS).
Some places do not allow certain limits. In those places, the limits apply to the fullest extent allowed. You use the Service at your own risk.
14. Indemnity
You will defend and indemnify us against claims, damages, and reasonable legal fees arising from Your Content, your use of the Service, or your breach of these Terms, except to the extent we caused the claim by our own willful misconduct.
15. Term, suspension, and closing an account
These Terms last until you or we end them. You may close your account by using account tools or by contacting us. We may suspend or close an account immediately if you breach these Terms, if we are required to by law, or if we shut down the Service.
When an account closes, your right to use the Service ends. We may delete Your Content after a reasonable period, or keep copies if the law requires or if another member still needs them in a shared campaign. Sections that by their nature should survive (including 3, 4, 12–14, 16–18) survive termination.
16. Copyright complaints (DMCA)
If you believe content on the Service infringes your copyright, send a notice that meets 17 U.S.C. § 512(c)(3) through the contact page. Address it to the Copyright Agent for Genetix Development / RPGCaddy.
Include: identification of the work and the material you claim is infringing (with a URL if you can); your contact information; a statement that you have a good-faith belief the use is not authorized; a statement under penalty of perjury that the notice is accurate and that you are the owner or authorized to act; and your physical or electronic signature.
If we remove material, the uploader may send a counter-notice. We may restore the material unless the complainant seeks a court order. Knowingly false notices can create liability for the sender. This process is a legal notice; it is not covered by the same privacy expectations as ordinary support mail.
17. General
These Terms are the entire agreement between you and us about the Service. They supersede prior discussions about the same subject. If a court finds a part unenforceable, the rest still applies. If we do not enforce a part once, we can still enforce it later. You may not assign these Terms without our consent; we may assign them in connection with a sale or reorganization of the Service.
These Terms are governed by the laws of the United States and of the state where Genetix Development is located, without regard to conflict-of-law rules. You and we agree that disputes will be heard in a court of competent jurisdiction in that state, except that we may seek injunctive relief in any forum to protect the Service or our intellectual property.
Notices to you may be sent to the email on your account or posted in the Service. Notices to us may be sent through the contact page.
We are not liable for delays caused by events beyond our reasonable control (including outages at hosting or payment providers).
